About the role

Manage the CEO's daily appointments and calls, confirm and reconfirm meetings.
Arrange and facilitate meetings, including invitations, room/equipment booking, refreshments, and meeting minutes.
Manage and review documents for CEO approval, ensuring accuracy and relevance before submission.
Prepare reports, presentations, and documents for the CEO.
Manage travel, accommodation, and entertainment arrangements, including budgeting and expense reports.
Store and protect confidential company and personal data of the CEO, both digital and printed.
Sit between the GM and Sales Manager as the CEO's coordination point, tracking that weekly pipeline reviews, monthly sales results, and GM–Sales Manager action items are actually happening and reported on time.
Consolidate weekly and monthly reports from the Sales Department and the GM's dashboard into a short summary for the CEO.
Flag to the CEO any recurring gaps between the Sales Manager's reporting and the GM's oversight.
Track that action items from GM–Sales meetings are followed up and closed.
Serve as the primary point of contact with BYD HQ/Factory for correspondence conducted in Mandarin.
Translate and summarize BYD HQ/Factory communications for the CEO and relevant department heads.
Build and maintain strong partnerships with distributors, retailers, and key market players.
Coordinate and, where needed, interpret for calls, visits, or meetings between the CEO and BYD HQ/Factory representatives.
Track deadlines and required submissions to BYD HQ, and confirm they are completed by the responsible department.
When the GM is on leave, traveling, or otherwise unavailable, act as the CEO's coordination contact for the department heads who normally report to the GM, ensuring urgent operational matters are surfaced quickly.
Collect and relay the Daily Huddle summary, overnight leads, and any customer escalations directly to the CEO in the GM's absence.
Route any matter requiring GM-level decision authority directly to the CEO for a decision.
Support the Sales Manager and other department heads in maintaining routine operations during the GM's absence.
Brief the GM on what occurred during their absence upon return.
Provide the CEO with a short daily or weekly summary covering: sales performance highlights, any GM-absence matters handled, and open BYD HQ items.
Maintain a coordination log of escalations, BYD HQ correspondence, and follow-ups for the CEO's reference.

Requirements

Bachelor's degree in Administration, Management, or a related field.
At least 3 years of experience in secretary, administration, executive assistant, or coordinator roles; automotive dealership experience an advantage.
Fluent in English and Chinese (Mandarin), both written and verbal — required for BYD HQ/Factory liaison; Khmer also required for local staff communication.
Strong Microsoft Office skills (Word, Excel, PowerPoint).
Comfortable reading basic sales/operations dashboards and KPI reports.
High discretion and confidentiality; sound judgment on what requires immediate CEO escalation.
Clear, professional communication style suited to liaising across the CEO, GM, Sales Manager, and BYD HQ.
